Responding to 5-star reviews

Positive reviews are the easiest to answer and the easiest to ignore. Don't ignore them — a warm reply makes the reviewer more loyal and encourages the next reader to leave their own.

Review: "Fantastic experience from start to finish. Aisha at the front desk was lovely and the whole team made us feel welcome."

Reply: "Thank you — and what a kind thing to say about Aisha. We'll make sure she hears it today. Making people feel genuinely welcome is the whole point, so this means a lot. See you next time!"

Review: "Best coffee in the neighbourhood, hands down. My go-to every morning."

Reply: "Starting your mornings with us is the best compliment we could ask for — thank you! Your usual will be ready."

Review: "Booked in last minute and they still fit me in. Great service."

Reply: "We're really glad we could help when you needed it — thanks for giving us the chance, and for taking a moment to leave this. See you again soon."

Responding to 4-star reviews

A 4-star review is a compliment with a small note attached. Acknowledge the positive, address the "almost", and don't get defensive about the missing star.

Review: "Really good food and service. Only reason it's not five stars is we waited a while for a table."

Reply: "Thank you — we're glad the food and service hit the mark. You're right that the wait wasn't ideal, and we're working on our peak-time seating so the next visit is smoother. We'd love to make it five next time."

Review: "Great haircut, friendly staff. Parking is a bit of a nightmare though."

Reply: "Thanks so much! The parking is a fair point — the public car park two doors down is usually a little easier at busy times. Glad you liked the cut, and see you next time."

Responding to 3-star (mixed) reviews

Three stars usually means "some good, some not". These are your best opportunity to show prospective customers how you handle honest, balanced feedback.

Review: "The product is good but delivery took longer than expected and the updates were unclear."

Reply: "Thank you for the honest feedback — we're glad the product itself worked out. The delivery experience clearly didn't, and slow, unclear updates aren't the standard we want. We've flagged this with our fulfilment team. If you're open to it, email us and we'll make the next order right."

Review: "Decent service but felt a bit rushed during a busy period."

Reply: "We appreciate you saying so. Feeling rushed is the opposite of what we want, even when it's busy — thank you for the nudge to protect that. We hope you'll give us another chance to show you our calmer side."

Responding to 1- and 2-star (negative) reviews

Review (1 star): "Ordered for an event and it arrived late and cold. Ruined the evening."

Reply: "I'm genuinely sorry — a late, cold order for an event is a real letdown, and I understand the frustration. That's not how we run things, and I want to put it right. Please email me directly with your order details and I'll personally sort a resolution."

Review (2 stars): "Staff seemed disinterested and I felt like a number."

Reply: "Thank you for telling us — feeling like 'a number' is exactly what we work hard to avoid, so this is useful to hear. I've shared it with the team directly. I'd welcome the chance to make a better impression; please ask for me by name on your next visit."
Common mistake: Never offer a refund or discount in the public reply. It invites bad-faith reviews. Handle any compensation privately, in the offline conversation you've just opened.
